SeaPort-e: Quality Assurance

Syncrotech is committed to providing superior quality services to our customers at all times. Thus our Quality Assurance Program (QAP) is designed to provide constant surveillance, inspection, testing, correction of deficiencies, and recording actions by Syncrotech in connection with performance for our customers. The QAP is designed to provide effective and economical performance monitoring, and is subject to modification at any time to reflect specific requirements as negotiated and required by the contract or task order.

Syncrotech's standard QAP includes, but is not limited to:

Inspection System - the performance of quality audits and training as well as reviewing the quality level with our customer's representative. An inspection schedule is developed detailing the areas of inspection and the personnel responsible for the inspections.

Deficiency Identification and Prevention - allows for the timely detection and correction of defective services, and the prevention of deficiencies in the quality of service performed before the level of performance becomes unsatisfactory. Methods whereby this detection can be assured are:

  1. Performance Evaluation Meetings held weekly for the first few months and then thereafter as deemed necessary. These meetings are held with the customer's representative where we learn of any existing deficiencies and take correction action.
  2. Contract Discrepancy Reports (CDR) may be issued by the customer, in which case Syncrotech will explain in writing why performance was unsatisfactory, how performance will be returned to an acceptable level, and how the reoccurrence of the problem will be prevented in the future.
  3. Customer Feedback, which is provided to us by our customer, will ensure that any failure to comply with the task requirements will be remedied immediately.
  4. Syncrotech's Quality Control Procedures which include technical training of employees and documentation of their skills, and meeting customer's processing schedules as well as workflow scheduling, will allow for the detection of deficiencies.
  5. Syncrotech's Performance Audits are conducted by a Syncrotech-designated management representative that assesses the effectiveness of the QAP. The audit is conducted semi-annually or as required by the customer. Follow up review of audit deficiencies will be accomplished regularly until satisfactory corrective action is achieved. A Quality Control Inspection Report will be completed at the time of the audit and a copy made available to the customer, if desired.

Inspection Files - consist of a system of records and reports covering all inspections, problems encountered and recommended solutions, progress reporting, equipment malfunctions, procedures changes, program changes (if applicable) and training verification. Types of records include a QC Discrepancy/Quality Assurance Log, an Inspection Log, and a QC Inspection Checklist.

Standards of Performance - assures the standards of performance as specified in the task are maintained. Services are performed in a professional manner to conform to these standards. All personnel employed on the contract will meet the required qualifications that will enhance the quality performance of Syncrotech.

Syncrotech's QAP is always subject to modification and the results of our QAP processes assist in determining whether there is a need for adjustments to the plan in any step of the process. The QAP maximizes quality without the need for rework, thus providing exceptional services for our customers.
